About the job
Own delivery at Kraftbase so the founder can focus on growth.
Run client communication, sprints, resourcing, and delivery across our design and development projects for AI and SaaS companies. Build the rhythm that keeps every project on time, every client informed, and every team member clear on what matters this week.
This is not a role where you forward emails and update a tracker.
This is a role where you run delivery.
Location: In office, Vadodara, Gujarat
Experience: 3 to 5 years
Type: Full time
Workdays: Monday to Saturday
Timings: Flexible
CTC: ₹10 to 12 LPA
### Who we are
Kraftbase is India's most loved design agency on Behance.
We design and build brands, websites, platforms, and apps for AI and SaaS companies across the US, UK, UAE, and GCC. We have worked with 45+ clients across 30+ countries, including YC backed startups and companies backed by firms like Kalaari Capital and Z47.
Our team is small, sharp, and close to the work. Designers and developers work directly on client products, and clients hear from us often.
Why this role exists
Our work is good. Our clients are happy.
But right now, the founder is spending hours every day on delivery. Sprint planning, client updates, checking bandwidth, following up on deliverables, and making sure design and development are aligned.
That time should go into growing the business.
When delivery depends on one person, things slip. A client waits too long for an update. A designer gets pulled into two projects at once. A handoff between design and development misses a detail. A deadline moves without anyone saying so early enough.
We have pushed through this with effort. But effort is not a system.
So we are looking for a Project Manager who can take full ownership of delivery, work closely with the CEO, and make sure projects run smoothly without the founder being in every loop.
What you will own
Client communication
You will be the main point of contact for clients once a project starts.
That means kickoff calls, weekly updates, feedback rounds, scope clarifications, and making sure clients always know what is done, what is next, and what we need from them.
Clients should never have to chase us for an update.Sprint planning and scrum
You will run the delivery rhythm.
Daily scrum calls, sprint planning, sprint reviews, task breakdowns, and priorities. You will turn client requirements into clear, well scoped tasks that designers and developers can pick up without confusion.
Every person on the team should know what they are working on today and why.Resource and bandwidth management
You will know who is working on what, how much capacity each person has, and where the gaps are.
You will plan allocation across projects, flag overloads before they become delays, and help the CEO decide when we can take on new work and when we need more hands.
Bandwidth should be visible, not a guess.Deliverables, timelines, and quality
You will own timelines from kickoff to handoff.
You will track milestones, manage dependencies between design and development, review work before it reaches the client, and make sure what we ship matches what we promised.
If a deadline is at risk, you should know first and tell the right people early.Working with the CEO
You will work closely with the CEO on project health, client relationships, scope changes, and team performance.
You will bring clear reporting, raise problems early, and suggest fixes. Over time, you will help shape how Kraftbase runs delivery as we grow.
What success looks like
You are successful in this role when:
- The founder is no longer running delivery. The CEO stays informed through your reporting, but is not running scrum calls, chasing updates, or planning sprints.
- Clients feel looked after. They get timely updates, clear timelines, and no surprises.
- Projects ship on time. Deadlines are realistic, risks are flagged early, and slippage becomes rare.
- The team has clarity. Designers and developers know their priorities, have manageable workloads, and spend less time waiting on feedback or decisions.
- Design and development work as one team. Handoffs are clean, specs are clear, and fewer things fall through the gap between the two.
This role is for you if
- You like ownership
- You do not wait to be told what to follow up on. If a project is drifting, you notice it and act on it.
- You are comfortable with clients
- You can run a call confidently, explain delays honestly, push back on scope creep politely, and keep the relationship strong while doing it.
- You understand how design and development teams work
- You know what a design sprint looks like, how Figma handoffs work, why developers need clear specs, and where projects usually get stuck between the two.
- You are organised to the core
- Trackers stay updated. Calls happen on time. Notes get shared. Nothing important lives only in someone's head.
Requirements
3 to 5 years of experience as a Project Manager, Delivery Manager, or similar role
Experience managing projects with design and development teams (highly preferred)
Strong experience running scrum calls, sprint planning, and agile delivery
Experience managing multiple client projects at the same time
Excellent written and spoken English for communicating with international clients
Comfortable working with clients across US, UK, and Middle East time zones when needed
Hands on with tools like Jira, ClickUp, Notion, Linear, or similar
Basic understanding of Figma and the design to development workflow
Strong at resource planning and managing team bandwidth
Clear, structured, and calm when things go wrong
Good to have
Experience in a design agency, digital studio, or product company
Experience working with AI or SaaS clients
Some understanding of web and app tech stacks like React, Next.js, or React Native
Experience handling scope changes, estimates, and change requests
Experience using AI tools to speed up project management work
Things we are okay with
You do not need to be a designer or developer yourself.
You do not need a PMP or any formal certification.
You do not need to have managed a large team.
But you do need to be organised, reliable, clear in communication, and genuinely care about delivering good work on time.
How we work
We care about ownership
If something is broken, we expect you to pick it up. Not wait for someone else to notice.
We prefer honesty over comfort
If a timeline is unrealistic or a client request does not make sense, say so. We would rather hear the truth early than a nice update that turns into a problem later.
We care about the team
We do not want to deliver by burning people out. Good planning is how we protect both the client and the team.
We care about the work
Our reputation is built on the quality of what we ship. Every project should make us proud.
Why someone would want to join
You get to own delivery at a studio that already does great work for AI and SaaS companies across the world.
You will work directly with the CEO, have real decision making power, and shape how Kraftbase runs projects as we grow. You will work with international clients, on products that matter to their businesses, alongside a team that cares about craft.
If this works, you are not just joining as someone who tracks tasks.
You are joining as the person who makes Kraftbase run.
