Role Overview
The Operations Coordinator is a critical operational role that sits at the intersection of the Sales and Deployment teams. You will ensure the sales team is well-equipped with proposals, contracts, and estimates while also supporting the Deployment team with incentive program administration and rebate applications on behalf of customers.
This role is roughly split between Sales Operations support (~50%) and Deployment Operations support (~50%), and is ideal for a detail-oriented, highly organized professional who thrives in a fast-paced environment and enjoys wearing multiple hats. You will have a measurable impact on revenue by accelerating deal velocity on the sales side and maximizing incentive capture on the deployment side.
Key Responsibilities
Sales Operations (~50%)
- Prepare and review proposals, contracts, and estimate documents in coordination with Account Executives and the Director of Channel Sales.
- Maintain and organize sales collateral, templates, and enablement materials to ensure the sales team is always ready to engage.
- Track deal status in CRM (HubSpot or Salesforce), update records, and ensure data accuracy across the pipeline.
- Coordinate with contractors and internal teams to gather necessary inputs for site proposals and project documentation.
- Support the sales team with research, territory data, and other materials to accelerate outreach and deal preparation.
- Assist with scheduling, communications, and coordination between sales and internal departments.
Deployment Operations (~50%)
- Serve as the primary liaison between the Sales team and the Deployment team to ensure smooth project handoffs.
- Complete and submit incentive paperwork and rebate applications on behalf of customers across utility and state programs.
- Track incentive application status and follow up with utilities and program administrators as needed.
- Maintain organized records of all submitted applications, approvals, and disbursements.
- Support the Deployment team with documentation, scheduling, and project coordination tasks.
- Identify opportunities to streamline the rebate and incentive process and improve turnaround times.
Qualifications
Required:
- 2+ years of experience in operations, sales support, project coordination, or a similar administrative/operational role.
- Experience working with electrical contractors, energy projects, or real estate developers (or similar fields)
- Exceptional organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Strong written and verbal communication skills; comfortable working cross-functionally with sales, operations, and external partners.
- Proficiency with standard productivity and business tools (Google Workspace or Microsoft Office, Excel, PowerPoint, Word).
- Comfortable working in CRM systems (HubSpot, Salesforce) to maintain records and track project status.
- High attention to detail with a reliable, process-oriented approach to work.
Preferred:
- Experience with utility rebate programs, government incentives, or energy program administration.
- Background in clean energy, real estate, construction, or a related field.
- Experience supporting a sales team in a fast-growing startup environment.
- Self-starter who can identify process gaps and propose solutions without being asked.
