We're a small, founder-led personal finance business built on a YouTube channel with over 2 million subscribers, plus digital courses and a paid community. The team is global and scrappy. This role exists because our founder builds at the speed of thought, and we need someone to translate that energy into a clean, trackable operating layer. You won't run projects from the top down. You'll make sure projects can run by keeping the system honest, deadlines current, and handoffs clean.
What you'll actually do
The founder drops ideas, deadline changes, blockers, and decisions in scattered places (Slack, voice notes, calls). Your job is to capture all of that and translate it into clean updates in our project and knowledge tools, without sending five clarifying questions back.
You'll own:
- Translating scattered founder inputs into clean tasks, deadlines, and updates
- Weekly hygiene across our project pipeline: chasing missing fields, updating statuses, flagging slips
- Keeping the team knowledge base current and trustworthy
- Running a light async weekly check-in to surface progress and blockers
- A weekly status snapshot for the founder in a format she actually reads
- Coordinating handoffs between team members and triaging incoming requests
What good looks like
At 30 days
You're fully onboarded and can update our systems on the founder's behalf without back-and-forth.
At 60 days
You're running the weekly rhythm. Slips are surfaced before they become problems. The founder is checking the system less because you've made it trustworthy.
At 90 days
The founder says "I don't worry about deadlines anymore." The team knows where to go for status.
Who you are
- 1 to 3 years supporting a founder, exec, or small team as an EA, ops coordinator, or project coordinator
- Comfortable in project management tools (Notion, Asana, ClickUp, Linear, or similar) and quick to ramp on new ones
- Native or fully fluent English: you'll be parsing nuance and need to read between the lines
- Bulldog-stubborn but warm: you follow up three times without taking it personally or making the other person feel chased
- Comfortable with chaos and incomplete information: you make sensible calls and confirm after
- UK time zone or compatible (Europe, Africa) with meaningful overlap with UK working hours
Nice to have
- Experience inside a creator business, digital products company, or small agency
- Interest in using AI tools to speed up your own work
Logistics
- Part-time: 10 to 15 hours per week to start, with room to grow
- Fully remote
