About the job

Role Description
The Executive Assistant will provide administrative support to our CEO and Management team. This role requires exceptional attention to detail, strong communication skills, and the ability to handle travel arrangements, calendar coordination, scheduling, and other administrative tasks efficiently in a fast-paced environment, ensuring smooth operations.

Position: Executive Assistant to the CEO
Location: Kalyan Nagar (HRBR Layout), Bengaluru, India
Position Type: Full-Time

Key Responsibilities:
• Travel Management: Plan, coordinate, and book domestic and international travel arrangements, including flights and itineraries.
• Visa Arrangement: Handle all aspects of visa applications and documentation for international travel.
• Hotel Booking: Book accommodations for both domestic and international trips, ensuring comfort and convenience.
• Calendar Management: Manage the CEO's calendar by scheduling meetings, appointments, and events, prioritizing effectively to ensure optimal workflow.
• Minutes of Meeting: Attend meetings with the CEO, take accurate and detailed minutes, distribute them to relevant stakeholders, and track action items for follow-up.
• General Administration: Provide administrative support, including managing correspondence, preparing documents, and handling phone calls.
• Vendor Management: Liaise with vendors to ensure timely delivery of services and products, and negotiate contracts.
• Reimbursement Reconciliation: Handle expense reporting and reimbursement reconciliation, ensuring accurate and timely submission of expense reports.
• Support to the CEO: Managing communication and correspondence, assisting in the preparation of presentations, reports, and other executive-level documents.

Qualifications
• Bachelor’s Degree.
• 3+ years of experience as an Executive Assistant or in a similar role.
• Strong organizational and time-management skills.
• Excellent written and verbal communication abilities.
• Experience with travel management and visa processing.
• Proficient in managing confidential information and safeguarding sensitive data.
