About the job
About Marmeto
At Marmeto, we're building an ecosystem of businesses and products with a long-term vision.
Our journey spans global SaaS products, technology, real estate, hospitality, and community spaces. We believe in building things that create lasting value, and we're constantly exploring new opportunities.
We're looking for an exceptional Executive Assistant to work directly with the Founder, someone who can bring structure, speed, and ownership to an environment where multiple things are happening simultaneously.
About the Role
This is not a conventional Executive Assistant role.
You'll work closely with the Founder, interact directly with cofounders and senior leadership, coordinate across multiple businesses, and help ensure that important things actually get done.
Some days will involve leadership meetings and international partners. Others might involve coordinating vendors, researching opportunities, organising travel, or solving an unexpected operational problem.
Your job is not just to manage the Founder's time. It's to protect it.
We're looking for someone who can take responsibility for a task, figure out how to get it done, and come back with results rather than questions.
What You'll Be Responsible For
1. Founder & Executive Assistance
- Manage the Founder's calendar, meetings, appointments, travel, and day-to-day priorities.
- Handle professional and personal administrative responsibilities.
- Organise meetings, prepare agendas, capture action items, and ensure follow-through.
- Anticipate requirements and proactively handle things before they become problems.
- Act as a trusted point of contact for internal and external stakeholders.
2. Leadership Coordination & Follow-ups
- Work directly with cofounders, business heads, and senior leadership.
- Track important commitments, deliverables, decisions, and deadlines.
- Follow up with stakeholders to ensure timely progress.
- Identify delays, bottlenecks, and pending decisions, escalating when necessary.
- Keep the Founder informed through concise, actionable updates.
- Represent the Founder's priorities professionally while maintaining positive working relationships.
3. Execution & Problem-Solving
- Take ownership of tasks from start to finish with minimal supervision.
- Coordinate with vendors, contractors, agencies, partners, and service providers.
- Research options, collect quotations, negotiate, and recommend solutions.
- Handle unexpected challenges independently and find practical ways forward.
- Ensure tasks don't get stuck because someone hasn't responded or followed up.
4. Cross-Business & Operational Coordination
- Support coordination across Marmeto's technology businesses and other ventures.
- Assist with ongoing projects, site visits, purchases, and operational requirements.
- Coordinate with internal teams and external stakeholders.
- Maintain organised records of tasks, commitments, contacts, and important information.
5. Communication & Relationship Management
- Communicate confidently with senior executives, partners, employees, and vendors.
- Draft emails, messages, meeting summaries, and other communications.
- Build strong working relationships while maintaining accountability.
- Handle sensitive conversations and confidential information with maturity and discretion.
Who We're Looking For
We're looking for someone who is:
- Extremely resourceful: You know how to find solutions even when you don't know where to start.
- Proactive: You don't wait to be told what needs attention.
- Organised: You can manage multiple priorities without losing track of details.
- Assertive yet diplomatic: You can follow up firmly while maintaining good relationships.
- Independent: You exercise good judgment and don't need constant supervision.
- Persistent: You don't give up because someone hasn't responded.
- Adaptable: You're comfortable switching between business, operational, and administrative responsibilities.
- Tech-savvy: You're comfortable with AI tools, spreadsheets, calendars, and modern productivity software.
- Trustworthy: You understand confidentiality, discretion, and professional boundaries.
- Clear in communication: You can communicate effectively with everyone from senior executives to field vendors.
What We're Not Looking For
- Someone who only wants to manage calendars and schedule meetings.
- Someone who needs detailed instructions for every task.
- Someone who forwards problems instead of trying to solve them.
- Someone uncomfortable following up with senior leadership.
- Someone who prefers rigid job descriptions and predictable routines.
- Someone who confuses being busy with getting things done.
What You'll Get
- Work directly with the Founder across multiple businesses and industries.
- Exposure to entrepreneurship, SaaS, investments, real estate, and business operations.
- Significant responsibility, autonomy, and opportunities to learn.
- A fast-moving environment where your contributions have a direct impact.
- The opportunity to grow into a broader executive operations role based on performance.
What to keep in mind while applying
While applying, also send:
"Tell us about a time you were given a difficult or unfamiliar task with very little guidance. How did you figure it out, coordinate with others, and get it completed?"
We value ownership, intelligence, resourcefulness, and execution more than degrees or impressive job titles.
If you're someone who takes pride in making things happen, we'd love to hear from you.
