Project Coordinator

About the Role

We're seeking a highly organized Project Coordinator to support our Project Managers and Technical Delivery teams across Artisight's healthcare engagements and our VAR and professional services business. You'll keep projects organized, documented, and on track from initiation through closeout, coordinating with internal teams, technical resources, contractors, vendors, client stakeholders, and site contacts. Projects may include healthcare technology deployments, site readiness assessments, network infrastructure surveys, structured cabling, equipment installation, testing and validation, system upgrades, and decommissioning.

This isn't a hands-on engineering or installation role, but you'll bring the technical curiosity to learn new technologies and delivery processes quickly. This role is remote with travel to client sites and requires U.S. work authorization.

This role is a 40 hour/week 1099 contractor, based remotely in the U.S., and requires U.S. work authorization.

What You'll Do

• Support projects end to end, from internal handoff through deployment, testing, client acceptance, and closeout, and serve as acting Project Manager on smaller or lower-complexity projects when assigned, with appropriate leadership visibility and escalation
• Review SOWs, schedules, resource requirements, and documentation to understand objectives, dependencies, and deadlines, and help Project Managers build and maintain plans, schedules, milestones, staffing plans, budgets, forecasts, and communication plans
• Coordinate internal resources, contractors, technical leads, vendors, and site contacts, tracking assignments, hours, deliverables, travel, and availability, and manage onboarding requirements such as background checks, credentialing, badging, immunization records, training, and site access approvals
• Coordinate meetings, site activities, work windows, room access, escorts, and logistics in active healthcare environments, with awareness of patient care, privacy, safety, and infection-prevention requirements
• Follow up with owners to keep actions on schedule, flag scheduling conflicts, access limitations, missing information, and resource gaps early, and maintain RAID logs, action-item logs, change documentation, and issue trackers
• Maintain project repositories, trackers, meeting records, and decision logs, validate field documentation, photos, inventory records, site assessment data, test results, and punch lists, and support quality checks, lessons learned, and closeout, confirming open items have owners before a project closes
• Support financial tracking, including cost inputs, expense records, billing milestones, planned vs. actual comparisons, and invoice readiness, and prepare agendas, minutes, daily updates, weekly status inputs, and stakeholder communications

What You Have

• Associate's degree in Information Technology, Business Administration, or a related field, or equivalent experience
• 1+ years of experience as a project coordinator, administrator, or analyst within an IT services, technology deployment, or professional services organization
• Comfort working with technical terminology, project documentation, equipment inventories, site assessments, testing records, and technical teams
• Familiarity with project management methodologies, project controls, risk and issue management, and change management
• Proficiency with Microsoft Office, Excel, project management tools, and online collaboration platforms
• Strong attention to detail, organization, time management, and follow-through, with the ability to spot gaps or inconsistencies in project information and escalate them promptly
• Excellent written and verbal communication skills, the ability to juggle multiple priorities across projects or sites, and a proactive, adaptable, team-first approach

Bonus Points For

• Experience supporting network infrastructure, end-user technology, healthcare technology, structured cabling, hardware deployment, site surveys, or testing and validation
• Experience in healthcare, hospital, or other regulated environments, including site access, credentialing, and coordination across clinical and technical teams
• Experience with ServiceNow, SharePoint, asset management systems, or project tracking platforms
• Experience supporting a VAR, systems integrator, or IT professional services organization
