Role Overview

As a Project Manager at Holmes AI, you will be responsible for planning, coordinating, and driving projects from initiation to completion. You will work closely with the leadership, technology, product, and other cross-functional teams to ensure projects are delivered on time, within scope, and to the expected quality standards.

The ideal candidate is someone who takes ownership, takes their work seriously, values the opportunity, and is comfortable working with flexibility in a fast-paced startup environment. You should be highly organised, proactive, detail-oriented, and capable of keeping multiple stakeholders aligned.

A basic understanding of website development and technology projects is preferred. You do not need to be a developer, but you should be comfortable understanding requirements, coordinating with technical teams, tracking progress, and identifying and escalating issues.

Key Responsibilities

• Own and manage projects from planning and execution through completion.
• Define project scope, timelines, milestones, deliverables, and priorities in collaboration with relevant stakeholders.
• Coordinate closely with the Tech/ Engineering team to ensure timely execution of development-related projects.
• Manage website development projects at a superficial/project-management level, including requirements, timelines, content, design, development, testing, and launch coordination.
• Translate business requirements into clear tasks and actionable deliverables for the relevant teams.
• Track project progress, identify delays or dependencies, and proactively drive resolution.
• Coordinate between leadership, technology, product, design, marketing, and other teams as required.
• Conduct regular project follow-ups and ensure owners are accountable for their deliverables.
• Maintain project plans, trackers, documentation, meeting notes, and status updates.
• Identify project risks, blockers, and dependencies and escalate them appropriately.
• Coordinate testing and bug-fixing activities with the Tech team before project releases.
• Track bugs and ensure they are assigned, prioritised, followed up on, and closed within agreed timelines.
• Ensure projects are delivered with the expected quality and attention to detail.
• Provide regular updates to leadership on project status, risks, timelines, and key decisions.
• Help establish and improve project management processes and ways of working as the company scales.
• Be flexible in handling changing priorities and take ownership of urgent or high-priority requirements when needed.

Required Skills & Qualifications

• 3+ years of experience in Project Management, Program Management, Operations, Product Operations, or a similar role.
• Strong project planning, coordination, execution, and follow-up skills.
• Experience working with technology or software development teams.
• Basic understanding of website development and the overall software development lifecycle.
• Ability to understand requirements and convert them into clear tasks and timelines.
• Strong communication skills with the ability to coordinate effectively with technical and non-technical stakeholders.
• Strong organisational and time-management skills.
• Ability to manage multiple projects, priorities, and stakeholders simultaneously.
• Proactive approach to identifying and resolving blockers.
• Strong attention to detail and ownership of deliverables.
• Comfortable working in a fast-paced startup environment where priorities can change quickly.
• Strong working knowledge of project management and collaboration tools.

Preferred Qualifications

• Experience working in a B2B SaaS, AI, technology, or startup environment.
• Experience managing website development or software implementation projects.
• Basic understanding of APIs, frontend/backend development, QA/testing, and product releases.
• Experience coordinating with external vendors, developers, designers, or agencies.
• Experience working directly with founders or senior leadership.
• Strong problem-solving ability and a bias toward action.
