About You and The Role
Zipline deploys charging-site and ground infrastructure to support its operations. As a Construction Administrator, you will own the administrative control system across multiple active projects—ensuring commitments, costs, approvals, schedules, and closeout records are accurate and actionable.
Your work will help construction teams make decisions with confidence, prevent blocked payments and approvals, and deliver sites with clear cost visibility and complete records. You will partner closely with Construction, Finance, Procurement, Legal, Design, Engineering, Deployment, contractors, and vendors.
What You'll Do
- Own construction administration across multiple active charging-site and ground-infrastructure projects, from project setup through closeout and final reconciliation.
- Review invoices and payment applications for complete backup, contract and purchase-order alignment, accuracy, and approval readiness before routing them.
- Track budgets, commitments, change orders, invoices, forecasts, and actuals with Construction, Finance, Procurement, and project owners.
- Maintain schedules, milestone trackers, action logs, and decision logs that identify risks, owners, next steps, and impacts to site delivery.
- Surface and drive resolution of missing, inconsistent, late, or blocked contracts, vendor documents, invoices, change orders, approvals, and schedule inputs.
- Maintain audit-ready records across Procore, Coupa, spreadsheets, trackers, and related systems, and improve templates and handoffs as construction scales.
What You'll Bring
- 4+ years of construction administration, project administration, project controls, contract administration, or similar experience supporting complex construction projects.
- Working knowledge of construction contracts, purchase orders, change orders, payment applications, invoice review, vendor documentation, document control, and closeout.
- Experience managing multiple concurrent projects where budgets, schedules, vendors, contracts, invoices, and project records must remain accurate.
- Ability to reconcile contract values, purchase orders, changes, invoices, payment status, schedule milestones, and records across systems.
- Fluency with construction-management and financial systems; Procore and Coupa experience is strongly preferred, with similar-system experience also valuable.
- Clear communication and practical judgment to escalate cost discrepancies, schedule risks, documentation gaps, and approval blockers to closure.
- Ability to work effectively in a remote or hybrid environment while coordinating across internal teams, contractors, and vendors.
