Role Overview:

We are looking for an experienced Executive Assistant to provide high-level administrative support to our executives and contribute to the smooth operation of our organization. The ideal candidate is detail-oriented, proactive, and able to handle a wide range of administrative and executive support tasks.

As an Executive Assistant, you are expected to fulfill the following:

  • Managing executives' calendars, appointments, and travel arrangements;
  • Preparing and organizing meetings, including scheduling, agenda preparation, and minute-taking;
  • Screening and prioritizing incoming calls, emails, and correspondence;
  • Coordinating and maintaining effective communication between executives and internal/external stakeholders;
  • Preparing and editing reports, presentations, and other documents as required by the team;
  • Conducting research and compiling data to support decision-making processes;
  • Handling confidential information with discretion and maintaining a high level of professionalism;
  • Assisting in project management and follow up on action items from meetings;
  • Handling administrative tasks, including expense reporting, filing, and other ad-hoc duties; and
  • Anticipating the needs of the executive team and proactively addressing them.

Ideal Executive Assistant should have:

  • Proven experience as an Executive Assistant or similar administrative role;
  • Strong organizational and multitasking skills;
  • Excellent verbal and written communication skills;
  • Proficient in Microsoft Office Suite and other relevant software;
  • Ability to maintain a high level of professionalism and confidentiality;
  • Proactive and positive attitude;
  • Strong interpersonal skills and the ability to work collaboratively;
  • Bachelor's degree or equivalent experience is preferred;
  • Willingness to work during Eastern Standard Time.
