We are seeking a resourceful, dedicated and reliable Operations Manager/Executive Assistant to join our team. This role offers a unique opportunity to work closely with the CEO and be involved in various operational aspects of the company, ensuring smooth day-to-day operations and providing support in areas such as HR, finance, vendor management, special projects like events, and general administrative tasks.

As an Operations Manager/Executive Assistant, you will be the trusted right-hand person to the CEO, responsible for handling a wide range of operational tasks and ensuring the efficient functioning of the organization. You will play a crucial role in coordinating with external service providers, liaising with accountants and lawyers, managing HR-related activities, overseeing payroll, vendor payments, planning events, and assisting with general administrative duties. This position requires a detail-oriented individual who thrives in a fast-paced environment and is willing to take on any task, no matter how big or small.

Responsibilities:

  • Work closely with the CEO and executive team to manage various operational aspects of the company, including HR, finance, vendor management, events planning and administrative tasks.
  • Coordinate with external service providers, such as accountants, lawyers, and other professional services, to ensure compliance, timely deliverables, and effective coordination.
  • Handle payroll processing, ensuring accurate and timely payment to employees, as well as managing employee benefits and HR-related administrative tasks.
  • Oversee vendor management, including managing vendor relationships, negotiating contracts, and processing payments in a timely manner.
  • Assist with general administrative duties, such as organizing meetings, managing calendars, coordinating travel arrangements, and handling correspondence.
  • Ensure compliance with relevant legal and regulatory requirements, working closely with the CEO to implement necessary policies and procedures.
  • Contribute to the development and improvement of operational processes, identifying areas for optimization and implementing efficient solutions.
  • Maintain accurate records and documentation, including financial records, contracts, HR documents, and other relevant organizational information.
  • Maintain confidentiality and discretion while handling sensitive information and sensitive HR matters.
  • Assist, coordinate and manage special projects like events in Hong Kong and globally, such as conferences, team offsites and retreats.
  • Support the CEO and Executive Team in various ad hoc tasks and projects as needed.

Qualifications:

  • Proven experience in an operations or executive assistant role, preferably in a fast-paced startup environment.
  • Strong organizational and multitasking skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent attention to detail and accuracy, with the ability to handle tedious and repetitive tasks efficiently.
  • Experience in events coordination and planning.
  • High level of integrity and ability to handle sensitive and confidential information with discretion.
  • Strong communication and interpersonal skills, with the ability to effectively liaise with various stakeholders, both internal and external.
  • Proficient in using productivity tools, such as Google suites for managing documents, spreadsheets, and calendars.
  • Familiarity with basic HR practices, payroll processing, and vendor management.
  • Resourceful and proactive mindset, with the ability to independently find solutions to any challenges that arise.
  • Flexible and adaptable, willing to take on any task, regardless of its size or complexity.
