Role Description
We are seeking a detail-oriented and analytical Estimator to support pricing and cost estimation activities across work orders, service requests, and capital projects.
This role is responsible for preparing accurate, timely, and competitive estimates by analyzing project requirements, labor needs, material costs, subcontractor pricing, and market conditions. The Estimator works closely with Operations, Procurement, and Business Development teams to ensure all proposals align with company pricing standards, client requirements, and profitability objectives.
The ideal candidate possesses strong cost analysis skills, attention to detail, and the ability to manage multiple estimates simultaneously while maintaining accuracy and consistency.

What You’ll Do:
• Prepare accurate and competitive estimates, proposals, and quotes for reactive maintenance, preventive maintenance, service work orders, repairs, and capital improvement projects.
• Support pricing and scope development for common maintenance and repair requests, including:
o HVAC: AC not cooling, fan motor replacement, thermostat replacement, filter changes, coil cleaning, and system inspections.
o Plumbing: Toilet clogs, pipe leaks, faucet replacements, fixture repairs, and water heater maintenance.
o Handyman Services: Door repairs, drywall patching, ceiling tile replacement, hardware adjustments, building inspections, and general facility repairs.
• Work within facility management platforms and client portals, including ServiceChannel, Corrigo, and similar systems used for work order management, proposal submission, and approval workflows.
• Review scopes of work, technician findings, site photos, inspection reports, vendor assessments, and client requirements to determine labor, material, equipment, and subcontractor costs.
• Develop pricing for facility maintenance trades including HVAC, plumbing, electrical, roofing, automatic and overhead doors, handyman services, general repairs, and other commercial building systems.
• Evaluate and process NTE (Not-to-Exceed) requests by preparing detailed cost breakdowns, supporting documentation, and client-facing justifications for approval.
• Utilize historical work order data, market pricing, geographic labor rates, trade-specific costs, and vendor quotations to build accurate and competitive estimates.
• Obtain, analyze, and compare multiple vendor and subcontractor quotes to ensure cost competitiveness while maintaining profitability and service quality standards.
• Prepare detailed client-facing proposals including scope descriptions, exclusions, assumptions, line-item pricing, and supporting documentation.
• Maintain and update pricing databases, labor rates, material costs, subcontractor pricing, markup structures, and historical cost records.
• Analyze completed work orders and projects to identify pricing trends, improve estimating accuracy, and support continuous improvement initiatives.
• Coordinate closely with Dispatch, Operations, Vendor Management, Procurement, and Project Teams to support quote development, service delivery, and project execution.
• Identify scope gaps, pricing risks, operational concerns, and margin impacts prior to quote submission.
• Maintain proper estimating documentation, version control, pricing records, and supporting files in accordance with company standards and client requirements.
• Support dispatch and operational functions as needed, including vendor coordination, work order scheduling, service follow-up, and issue resolution to ensure timely execution and client satisfaction.
• Contribute to the standardization of pricing methodologies, estimating processes, and best practices across all service lines and client accounts.

What We’re Looking For:
• Experience in estimating, dispatching, construction, facility maintenance, or related operational support roles
• Strong understanding of labor, material, and project pricing concepts
• Ability to read and interpret scopes of work, vendor quotes, and repair assessments
• Strong communication, coordination, and organizational skills
• Proficiency in Microsoft Office, Google Workspace, spreadsheets, and work order management systems
• Ability to manage multiple tasks, vendors, and deadlines in a fast-paced environment
• Detail-oriented with strong analytical and problem-solving skills
• Knowledge of trades such as HVAC, plumbing, electrical, roofing, or general maintenance is preferred
• 2–5 years of experience in estimating, dispatching, construction coordination, facility management, or related fields preferred
• Experience working with vendors, subcontractors, and maintenance/service work orders is highly preferred
• Experience in commercial property maintenance, construction, or facilities operations is an advantage
