Position Overview
The Executive Assistant provides administrative, organizational, and project support to the leadership team, helping keep day-to-day business activities organized and moving forward. This role is responsible for coordinating tasks, maintaining documentation, assisting with team processes, and supporting leadership with a variety of administrative needs.
The ideal candidate is highly organized, detail-oriented, resourceful, and comfortable working across multiple areas of a growing company. This is a hands-on support role that requires strong communication, follow-through, and the ability to prioritize changing needs.
Key Responsibilities
Executive & Administrative Support
- Provide day-to-day administrative support to leadership, including scheduling meetings, tracking action items, preparing communications, and managing follow-ups.
- Maintain organized company files, employee records, documentation, and payroll-related information.
- Support recruiting, onboarding, training coordination, and team communications.
- Assist with general administrative needs across departments as priorities change.
Operations & Process Support
- Maintain customer support resources, macros, workflows, internal guides, and recurring-issue documentation
- Edit and organize SOPs, guides, and internal documentation so employees can easily find accurate, current procedures.
- Identify outdated or unclear processes, recommend improvements to leadership, and help implement approved changes.
- Assist with customer-related tasks, escalations, and coordination with the appropriate team members.
Projects & Business Coordination
- Coordinate internal projects by tracking deadlines, deliverables, action items, updates, and follow-ups.
- Support leadership with research, reports, presentations, special projects, and short-term initiatives.
- Help evaluate tools, vendors, partnerships, and other resources for business decisions.
- Take on additional responsibilities and projects as assigned by leadership.
Qualifications
- Previous experience in an administrative, executive assistant, coordinator, or similar support role preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to maintain accurate records.
- Comfortable managing multiple tasks and shifting priorities.
- Ability to work independently while knowing when to ask questions or escalate an issue.
- Proficiency with common workplace software and communication tools.
- Comfortable learning new systems and technology.
- Strong problem-solving and follow-through skills.
- Experience with remote communication tools preferred (e.g. Google Meet, Slack)
- Experience with project management tools preferred (e.g. Monday, Linear, Jira)
- Experience with Cloud documentation tools preferred (e.g. Confluence, Dropbox)

A successful Executive Assistant helps leadership stay organized, ensures administrative tasks are completed accurately and on time, keeps documentation current, and helps internal projects move forward. The role is expected to be proactive and dependable while operating within established processes and escalating larger decisions or process changes to leadership.
