The Role
This is a precision job and you'll own whether the record is correct: the plain, checkable facts across our platforms. Is the client's targeting configured? Do the campaign settings match what they signed for? Was the meeting logged right? Did the invoice go out? Was access removed when a contract ended? You're the one who catches the things that would otherwise slip through quietly.
You won't be judging whether a campaign is good or a strategy is right (that sits with others on our team). Your job is keeping the facts underneath all of it accurate and current, with evidence in the system to back them up.
If fixing a messy system is the kind of thing you enjoy, you'll like this work. If you want to run client strategy, this isn't the role for you.
What You'll Do
- Keep our systems of record accurate across the dashboard, List Builder, and outreach tools. You'll work from an exception queue, a running list of what's wrong and who owns it. You fix issues directly or chase the owner, and when a problem keeps recurring you flag it so we fix the process instead of patching the same thing over and over.
- Run the invoicing cycle end to end. Every invoice goes out on time, and you chase the unpaid ones to payment. You'll also start, change, and cancel client subscriptions so billing always matches scope.
- Own contractor onboarding and offboarding.
- Drive client onboarding and offboarding checklists to completion across our delivery teams. Every item has to be evidenced in the system, not just claimed in Slack.
- Handle contract and access admin: Slack guest accounts, contract amendments, and keeping contract records current.
- Verify new feature deployments against real accounts and report pass or fail with evidence. You work with read-only access and won't need to write any code.
- Keep the operational backbone clean: ClickUp and Slack hygiene, retrying failed notifications, time-off coverage, and reporting checks.
What Success Looks Like
We measure this role on clarity and follow-through. In practice that means the exception queue stays current and nothing sits unresolved, invoices go out on schedule and none get forgotten, contractor access is ready before someone's first day and gone by the end of their last, and each month you bring us at least one recurring problem along with a proposed fix. The targets are precise, and we'll walk you through them when you start.
Who You Are
- You're relentless about detail and you close loops. "Mostly done" bothers you.
- You're comfortable working from a queue and getting other people to finish their part without creating friction.
- You've done ops, RevOps, billing, or account admin before, ideally at an agency or B2B SaaS company.
- You already know tools like Slack, ClickUp, and Deel, or you pick up new tools fast.
- You write clearly, and you'd rather raise a problem early than explain a mess later.
What This Role Is Not
A few things sit outside this role, and we'd rather be clear now: judgment on client-facing quality like call quality, strategy, or messaging; anything that needs code or deployments; payroll, commissions, or rates; and commercial calls like renewals, pricing, or credits.
