Record Retrieval Solutions is seeking a highly organized, detail-oriented, and dependable Remote Records Retrieval Specialist to join our growing team. This role is responsible for coordinating the retrieval of medical, legal, insurance, and other authorized records on behalf of clients. The ideal candidate is comfortable working independently in a remote environment, communicating professionally with healthcare facilities, government agencies, attorneys' offices, insurance companies, and other record custodians, and managing multiple requests while meeting established deadlines.

The Remote Records Retrieval Specialist plays an important role in ensuring that requested records are obtained accurately, securely, and efficiently. This position is well suited for someone who enjoys administrative work, research, follow-up, problem-solving, and working with confidential information.

Position Summary

As a Remote Records Retrieval Specialist, you will manage records requests from initiation through completion. You will review incoming requests, verify that required information and authorizations are available, identify the appropriate record custodian, submit requests through approved channels, monitor request status, conduct follow-ups, and ensure that received records are properly documented and routed to the appropriate client or internal department.

Success in this position requires strong attention to detail, excellent written and verbal communication skills, persistence, time-management abilities, and the ability to follow established procedures for handling confidential information.

This is a remote position, so candidates must be self-motivated, comfortable using computers and online systems throughout the workday, and capable of maintaining productivity with minimal direct supervision.

Key Responsibilities
Receive, review, and process records retrieval requests according to company procedures and client requirements.
Carefully examine requests for completeness, including names, dates of birth, dates of service, facility information, authorization forms, and other required documentation.
Identify healthcare providers, hospitals, clinics, laboratories, government agencies, insurance companies, attorneys' offices, and other custodians that may possess requested records.
Submit records requests using approved electronic portals, secure email, fax, mail, telephone, or other authorized methods.
Track every request accurately in the company's records management or workflow system.
Monitor outstanding requests and conduct timely follow-ups when records have not been received.
Communicate professionally with records departments, medical facilities, attorneys' offices, insurance representatives, and other third parties.
Investigate incomplete, rejected, expired, or otherwise problematic requests and determine the appropriate next steps.
Follow up on requests that require additional authorization, payment, identification, clarification, or documentation.
Review retrieved records for completeness and verify that the requested information has been received.
Accurately document request status, correspondence, follow-up attempts, fees, delivery methods, and completion details.
Escalate complex, delayed, or unusual requests to supervisors when appropriate.
Maintain organized electronic files and ensure records are routed or uploaded according to company procedures.
Protect confidential and sensitive information throughout the retrieval process.
Meet daily, weekly, and monthly productivity and quality expectations.
Manage multiple assignments simultaneously while prioritizing urgent or time-sensitive requests.
Maintain accurate records of all communications and actions taken on each request.
Identify opportunities to improve efficiency, reduce delays, and enhance the overall records retrieval process.
Perform other administrative and operational duties as assigned.

Qualifications
Required Qualifications
High school diploma or equivalent.
Previous experience in records retrieval, medical records, healthcare administration, legal support, insurance, customer service, data entry, or a related administrative role is preferred.
Strong attention to detail and accuracy.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Ability to work independently and consistently meet deadlines.
Comfortable making professional telephone calls and communicating with external organizations.
Proficiency with computers, email, internet research, Microsoft Office, Google Workspace, and web-based applications.
Ability to learn and navigate multiple software systems and online records portals.
Professional judgment when handling confidential or sensitive information.
Reliable internet connection and a suitable remote-work environment.

Preferred Qualifications
Experience retrieving medical or legal records.
Familiarity with electronic health record systems or medical records departments.
Experience working with HIPAA-related processes or other privacy and confidentiality requirements.
Knowledge of authorization and records-request procedures.
Experience using case-management, CRM, workflow, or document-management systems.
Previous remote or work-from-home experience.
Experience working in a high-volume administrative environment.
