About the role
We’re hiring a versatile Administrative Assistant to help keep things running smooth. This is a generalist role for someone who thrives on variety: one hour you might be scheduling interviews, the next you’re planning a team event or making sure a new hire has everything ready on day one. You’ll be a go-to person for the team and a key contributor to a workplace that feels welcoming, efficient, and well cared for.
This is an in-office position based in San Francisco. Because so much of the work involves people, spaces, and events, your presence on-site is central to the role.
What you’ll do
- Scheduling & calendar support: Coordinate meetings, manage calendars, and resolve scheduling conflicts across time zones and teams.
- File & document organization: Keep shared drives, records, and documentation clean, well-structured, and easy to find.
- Travel & expenses: Book travel and accommodations, build itineraries, and help process related expenses and receipts.
- Facilities management: Own the day-to-day of the office — supplies, vendors, deliveries, maintenance requests, and keeping shared spaces stocked and running.
- Offsite & event planning: Help plan and execute team offsites, celebrations, and events, from logistics and venues to catering and on-the-day coordination.
- New hire onboarding: Support onboarding logistics so new team members have a smooth, welcoming first day — equipment, workspace setup, accounts, and welcome materials.
- General administrative support: Pitch in wherever needed with ad-hoc projects and the small things that keep a growing company moving.
What we’re looking for
- A proactive, energetic, and organized go-getter who takes ownership and follows through.
- 2+ years of administrative, office coordination, executive assistant, or comparable operations experience (startup experience a plus).
- Exceptional organization and attention to detail — you rarely let things fall through the cracks.
- Strong written and verbal communication skills and a warm, professional, service-minded approach.
- A resourceful problem-solver who can juggle competing priorities and shift gears quickly.
- Comfort with common workplace tools (e.g., Google Workspace, Slack, scheduling and travel-booking tools).
- Discretion and good judgment when handling sensitive information.
- Able to work on-site full-time in our San Francisco office.
Nice to have
Interest in software, video production, marketing agencies, or deep tech.
Experience planning events
Familiarity with vendor management, procurement, or facilities coordination.
Experience supporting onboarding or people-operations processes.
Compensation & benefits
The salary range for this role is $85,000–$100,000 per year, depending on experience and fit. This is an in-office, full-time position based in San Francisco.
