Position Overview:
The Executive Assistant to the CEO will play a critical role in ensuring the CEO’s time is optimized and priorities are met with efficiency and excellence. The ideal candidate is proactive, highly organized, and thrives in a fast-paced environment. The role requires handling complex schedules, managing high-level communications, coordinating projects, and providing critical support in both professional and personal capacities. Occasional travel with the CEO is required to provide hands-on support at meetings, events, and business engagements.
Key Responsibilities:
- Calendar and Schedule Management
- Maintain and manage the CEO’s complex and dynamic calendar, ensuring seamless coordination of meetings, appointments, and events.
- Anticipate scheduling conflicts and proactively adjust to meet priorities.
Prepare daily schedules and ensure the CEO is informed and prepared for all commitments.
Travel Management
Organize and oversee all travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
Accompany the CEO on business trips to provide on-site support, ensuring meetings and engagements run smoothly.
Prepare travel expense reports and reconcile travel budgets.
Communication and Correspondence
Manage and prioritize the CEO’s email inbox, drafting responses when appropriate and ensuring timely follow-ups.
Act as the primary point of contact between the CEO and internal/external stakeholders, maintaining a professional and polished communication style.
Prepare and edit correspondence, presentations, and reports on behalf of the CEO.
Meeting Coordination
Plan and coordinate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
Ensure meeting materials are accurate, comprehensive, and delivered in advance.
Liaise with team members and external stakeholders to confirm attendance and logistics.
Strategic Support and Project Management
Assist in the development and execution of strategic initiatives by coordinating deliverables and monitoring progress.
Conduct research and provide the CEO with insights to support decision-making.
Track and manage deadlines for projects, ensuring alignment with organizational goals.
Maintain and organize confidential business records and documentation.
Personal Assistance
Provide personal support to the CEO, including managing personal appointments, errands, and reservations.
Help balance personal and professional priorities effectively.
Event Planning and Coordination
Plan and execute internal and external events, including team retreats, client meetings, and corporate milestones.
Manage event budgets, vendors, and logistics to ensure flawless execution.
Office Management and Operational Support
Oversee administrative processes to ensure efficient operations for the CEO and leadership team.
Coordinate with the HR and finance departments to manage key documentation, including contracts, invoices, and payroll approvals.
Supervise junior administrative staff or external service providers as needed.
Problem-Solving and Process Improvement
Identify inefficiencies in workflows and propose solutions to enhance productivity.
Proactively resolve issues that arise in the CEO’s day-to-day activities.
Confidentiality and Professionalism
Handle sensitive information with the highest level of discretion and confidentiality.
Represent the CEO with professionalism, diplomacy, and integrity at all times.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Communications, or a related field. Equivalent work experience may be considered in lieu of a degree.
- Experience:
- Minimum of 3-5 years as an Executive Assistant, Personal Assistant, or similar role supporting a senior executive.
- Proven ability to manage complex schedules, prioritize tasks, and meet deadlines in a high-pressure environment.
Skills:
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities with an eye for detail.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- Adaptability to learn new tools and technologies as needed.
- Additional Requirements:
- Availability to travel domestically and internationally.
- Experience in the food, retail, or hospitality industry is a plus but not mandatory.
- High emotional intelligence and the ability to manage relationships with tact and professionalism.
