About the roleWe’re looking for a detail-oriented People Operations / Office Manager to join our team. This position plays a key role in managing HR functions and supporting operational areas, including payroll, benefits administration, legal contracts, and compliance. You’re an ideal candidate for this role if you have strong organizational skills, experience in talent acquisition, the ability to multitask across HR and operational areas, and a solid understanding of business processes. This role reports to the Head of Finance & Operations and is based in Sydney, Australia. If necessary, an early start time on Tuesdays and Thursdays is expected to overlap with our US Team. You will be working closely with the executive team as the business rapidly grows, so time in the office will be required. However, some work from home is also OK.
Key Responsibilities
- People Management: Oversee critical human resources functions such as payroll processing, administering employee benefits programs, including health, dental, vision, and retirement plans, and addressing any employee inquiries related to these benefits.
- Hiring and Onboarding: Recruitment and onboarding will also be central to your role, where you will lead the process from posting job openings, sourcing candidates, and conducting interviews, to onboarding new hires and facilitating initial training. Additionally, you will manage employee stock option agreements, ensuring all necessary documentation is processed and up to date.
- Operational and Financial Support: You will play a vital role in supporting Respondent’s operational and financial functions. This includes assisting with the monthly bookkeeping process by maintaining financial records and reconciling accounts. Additionally, you will ensure compliance with federal and state tax filings and reporting, including managing monthly and quarterly reporting requirements. As part of your operational duties, you will manage vendor agreements, oversee invoice processing, and ensure timely handling of all incoming and outgoing mail.
- Compliance and Legal: As a key player in ensuring the company’s compliance with legal and regulatory standards, you will manage the company's insurance policies, including health, liability, and other necessary coverages, while ensuring claims and renewals are handled efficiently. You will also support in reviewing and redlining legal contracts, ensuring that agreements are aligned with company policies and legal standards. You will also support SOC audits and other compliance-related initiatives by maintaining up-to-date documentation and preparing the company for any external assessments.
- Office management: Up to 3 people onboarded per month over the next 18 months, Internal tool Implementations, provisioning of equipment, running payroll, background checks, establishing HR policies, HR Playbook creation, managing vendors and preparing vendor payments, organising executive travel and other special projects as needed.
