Girls Who Code (GWC) is seeking a full-time Programmatic Events Senior Associate to support the planning and execution of engagements for participants and corporate sponsors of our programs. The Programmatic Events Senior Associate will report to the Programmatic Events Manager and collaborate with the K-12, College & Career, Curriculum & Instruction, and Development Teams to ensure all event attendees and presenters receive a high-quality experience.
A successful candidate will have a strong interest in event management, particularly in an academic or school-based setting, and a passion to further Girls Who Code’s mission to empower young women and non-binary students to pursue Computer Science.
Candidates must meet the requirement of our hybrid remote work policy, which requires 2 in-office days per week. This is not a virtual/fully remote position.
Responsibilities
- Virtual Events Strategy, Planning and Operations
- Lead the planning and execution of virtual events for our K-12 and College & Careers Teams, including panel discussions, speaker series, workshops, and graduation events
- Serve as the primary point of contact for virtual event logistics, including day-of support
- Document project management and hand-off processes for each event type and make suggestions for improvement as needed/in response to stakeholder feedback
- Draft and send event marketing communications to appropriate audience lists
- Create virtual platform links (registration, login, etc.) and descriptions for events; lead quality assurance and check status of said links and all technical logistics and prep
- Create guides and other resources to support partners, students, and other stakeholders in the planning or preparation of their event
- Deliver high quality support to partners from pre to post event, distributing communications and preparation materials and scheduling run throughs as needed
- Create run of show and other production materials (slide decks, runs of show, etc.) that support successful GWC and partner-branded events
Execute technical production of virtual events on a given platform (Zoom, vFairs, etc.)
In-Person Event Logistics Support
Support the planning and execution of in-person events for our K-12 and College & Career Programs Teams, including field trips, meetups and workshops
Assist the Programmatic Events Manager with process documentation to optimize production planning
Create guides and other resources to support educators, students, and other stakeholders in the planning or preparation of their event
Registration and Attendance Oversight
Collaborate with members of Marketing and Communication, K-12, and College & Career Programs Teams to plan social media and other communications to increase event awareness and attendance
Track event signups and flag event registration or conversion concerns to relevant programmatic teams for students and partner volunteers
Manage the ordering and sending of incentives for students and other stakeholders (gift cards, swag, etc.) to increase registration to attendance conversion
Support execution of other strategies to meet the increased demand for a dynamic and engaging events for GWC participants and partners
Travel expectations of up to 10% domestic travel, primarily for tech tours across the U.S. Most travel occurs during the spring and summer seasons, typically for less than a week at a time, with trips lasting 3-4 days.
Requirements
- 1-2+ years experience in event planning, operations, and project management; interest/experience working with youth and school systems strongly preferred
- Demonstrated ability to learn and test new technologies and familiarity with platforms for event registration and virtual conferences (e.g. Eventbrite, Hopin, Zoom) preferred
- Strong customer-service orientation
- Attention to detail and an eye for consistency and branding
- Proficiency with Google Suite strongly preferred
- Familiarity with marketing tools such as Mailchimp, CampaignMonitor a plus
- Experience with public speaking/emceeing a plus
- Able to comfortably adapt and problem-solve in a diverse and dynamic environment
- Ability to work independently
- Computer Science experience is not required
