Bookkeeper/Office Admin Assistant Wanted: Join Our Vintage Car Dealership and Restoration Facility

Position Overview: We are seeking a detail-oriented individual with a background in accounting and office administration. You will manage all aspects of bookkeeping, including data entry, financial transactions, and administrative support, primarily using QuickBooks Desktop 2019. This role requires someone who can work both independently and as part of a team, interacting closely with our technicians, customers, and vendors.
Key Responsibilities:
• Maintain an accurate accounting system in QuickBooks Desktop 2019.
• Process accounts payable, receivables, and general ledger entries.
• Track and compile technician labor time for Repair Order (RO) builders and generate and distribute customer invoices. While knowledge of automotive service and repair terms is helpful, it is possible that it can be learned on the job. The successful candidate will be responsible for creating accurate Repair Orders.
• Manage receivables, deposits, and account reconciliations.
• Handle banking transactions, including payments and deposits.
• Perform general office and administrative duties, including vendor communications and file maintenance (electronic and paper).
• Complete regulatory filings and payments as required.
• Transmit payroll hours to the payroll provider.
• Review and verify the accuracy of business transactions.
• Other assigned tasks as needed.
Qualifications:
• Near Expert-level QuickBooks Desktop 2019 knowledge is mandatory.
• An associate degree in accounting is preferred but not required if replaced by relevant experience.
• Proficiency in Microsoft Suite (Word, Excel, Access) and strong computer skills.
• Knowledge of GAAP (Generally Accepted Accounting Principles).
• Excellent organizational skills and the ability to manage time effectively.
• Strong attention to detail and ability to multitask.
Required Experience:
• Minimum of 2 years of office administration experience.
• Minimum of 2 years of recent experience with QuickBooks Desktop.
Preferred Candidate Traits:
• Comfortable working in a light industrial environment.
• Okay in performing repetitive daily tasks.
• Ability to work independently while collaborating with the shop team.
• Strong verbal and written communication skills, with the ability to interact with customers and vendors over the phone.
