Job Summary:
We are seeking an efficient and organized HR & Admin Executive to join our team. The role involves managing administrative tasks, supporting the HR department, handling asset management, maintaining the HR database, and creating internal communications like newsletters to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and have a passion for creating a positive workplace environment.
Key Responsibilities:
- Maintain and update the HR database to ensure accurate employee information (personal details, contracts, job titles, etc.) and records are easily accessible.
- Ensure data integrity and confidentiality within the HRMS system (Keka).
- Help in organizing employee engagement activities, team events, and culture-building initiatives.
- Monitor attendance and leaves.
- Ensure compliance with company policies and labor laws.
- Address employee queries and resolve HR-related issues.
- Oversee day-to-day office operations, ensuring a well-functioning and safe workplace.
- Manage office supplies, vendor relationships, and equipment maintenance.
- Assist in organizing company events, meetings, and seminars.
- Ensure office security and safety measures are in place and adhered to.
- Manage and track company assets, including laptops.
- Maintain a detailed inventory of company assets and track their status (issuance, returns, repairs).
- Support in managing office budgets and expenses.
- Create, design, and distribute a monthly internal newsletter to keep employees informed about company updates, events, achievements, and HR announcements.
- Track employee feedback on newsletters and continuously improve content and presentation.
- Promote positive company culture and employee engagement through regular communications.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 1+ years of experience in HR, administrative roles, asset management, HR database management, and internal communications, preferably in a fast-paced environment.
- Familiarity with HRMS software (e.g., Keka), office/asset management systems, and communication tools.
- Strong organizational and time-management skills.
- Excellent communication, writing, and interpersonal skills.
- Ability to handle sensitive information with confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and design tools (e.g., Canva) is a plus.
**** Preferred Skills**
- Experience in IT or startup environments is a plus.
- Knowledge of labor laws and compliance regulations.
- Strong problem-solving skills and attention to detail.
- Experience with IT asset management systems, HR databases, and internal communication strategies.
