The Training Sales Operations Specialist’s role is to support our Senior Learning Business Manager in the day-to-day business operations of our Training Sales function at Ping Identity.
This is an initial 12 month contract position
Core Activities and Responsibilities:
Training Subscription Management
- Oversee the management of newly purchased and renewed Training Subscriptions.
- Maintain and update the Training Subscriptions tracking sheet.
- Ensure seamless synchronization of purchase data between Training Management System and Salesforce.
- Coordinate with internal stakeholders to identify and assign a Training Administrator for each account promptly.
- Dispatch welcome emails to Training Administrators, including all subscription resources.
- Generate and provide Training Subscriptions usage reports upon request for various internal teams.
Pricing Management
- Administer the Ping Identity Training courses pricing list.
- Keep the Training Management System and pricing tracking sheet current for both internal and external stakeholders.
Financial Administration and Tracking
- Monitor and report on the expenditure of the PingOne Advanced Identity Cloud tenant.
- Generate invoices and create Salesforce opportunities for course bookings.
- Track pre-paid training, coordinate with the revenue team for monthly recognition and assist accounts in utilizing their training resources.
- Manage and enhance the revenue reconciliation process for Authorised Training Partners (ATP). Compile monthly revenue reconciliation reports, incorporating financial data from Training Management System.
- Collaborate with the Senior Learning Business Manager to ensure precise reporting of costs and profits.
Training Credit Management
- Manage the redemption, refunding, usage, expiration and extension of training credits.
- Monitor the synchronization of newly purchased training credits from Salesforce to Training Management System.
- Liaise with ATPs regarding training credit holders for targeted marketing efforts.
Competencies and Skills
- Excellent attention to detail
- Ability to manage multiple tasks and projects with varying deadlines
- Excellent communication and relationship-building skills
- Ability to analyze and interpret data from various systems and create detailed reports
- Skills in developing and implementing efficient workflows and processes
- Strong interpersonal skills to work effectively with cross-functional teams
- The ability to be self-motivated
Prior Experience
- Practical experience in engaging with senior staff within major accounts. Experience in stakeholder management.
- Ability to interact directly with Learning & Development or HR professionals
- Demonstrated strong collaboration, verbal & written communication and teamwork skills within a distributed team
- Excellent computer skills; fluent in Excel; Word; PowerPoint
- Excellent business communication and presentation skills
- Experience in handling purchase orders and invoicing.
Desirable
- Familiarity with CRM systems and Training Management Systems
- Knowledge of financial reconciliation and understanding of revenue recognition
- A forward-thinking approach to anticipate future needs and potential process enhancements
- Desire to seek out opportunities for automation and scalability in operations
