About Xempla :

Xempla is an AI-native company that helps organisations run their buildings and critical assets better. Our platform sits on top of the systems teams already use, such as the BMS, CMMS and CAFM, and turns their data into clear maintenance and operations decisions: what to prioritise, what to escalate, what to act on and what to learn from. Our AI agents handle energy and reliability monitoring, fault triage, planning and scheduling, reporting and compliance, and support technicians on site, so engineers spend less time chasing alarms and more time fixing what matters.
We work with facilities management providers, asset owners and operators across India, Australia, the UK and the Middle East, in sectors that include healthcare, commercial real estate, energy and public infrastructure. We're a small, fast-moving team based in Kolkata, building a product that changes how maintenance work gets decided and done. Joining us means ownership, working closely with customers, and helping shape a category that's still being defined.

The Opportunity:

As Xempla scales its customer implementations, this role will own the end-to-end coordination and execution of multiple customer rollouts, from implementation planning and data onboarding to go-live and governance reporting. You will be responsible for maintaining project plans, tracking milestones and dependencies, coordinating customer and internal stakeholders, resolving delivery blockers, and ensuring each rollout progresses on schedule. The outcome is predictable, timely implementations, clear visibility into project status and risks, and a repeatable onboarding process that reduces coordination overhead.
This is an office-based role in Kolkata, with working hours aligned to India. The role requires flexibility to accommodate customer calls across Australia, the UK, and Singapore, including early-morning or late-evening calls where time-zone overlap requires it.

What You’ll Do:

  • Run each customer rollout as a project, owning the plan, timeline, go-live dates, owners, dependencies, and blockers.

  • Coordinate internally with product, data, and onboarding teams, and externally with customer and partner teams.

  • Collect, check, and organise each rollout’s asset lists and data, and follow up on missing or inconsistent information.

  • Run weekly rollout calls, document minutes and decisions, and follow up on action items until they are closed.

  • Maintain the risk and issue log, resolve blockers where possible, and escalate delivery slippage early.

  • Prepare weekly status packs, KPI updates, and governance reports for customers and leadership.

  • Pass support requests and feature requests to the product team and track them through to resolution.

  • Build a repeatable onboarding playbook and improve templates, tracking, and documentation so each rollout becomes faster and more consistent.

Who You Are:

  • Have about 1 year of experience (up to 2 years) in enterprise software implementation, customer onboarding, or project coordination at a SaaS product company, ERP/CRM implementation partner, or IT services firm.

  • Comfortable managing project plans, timelines, dependencies, and risks across internal and external stakeholders.

  • Have strong follow-up discipline and ownership: you spot gaps, anticipate roadblocks, and drive actions to completion without needing reminders.

  • Have clear written and spoken English and are comfortable coordinating with customers across time zones.

  • Proficient in Excel or Google Sheets, including data cleaning, validation, and progress tracking.

  • Have hands-on familiarity with project management tools such as Jira, Asana, or Trello.

  • Have a degree in Engineering, Business, or a related discipline.

  • Exposure to real estate or facilities management is helpful but not essential; Xempla will train for the domain. CAPM certification is a bonus, not a requirement.
