About the job

About the role

Tipping Point Media (TPM) is hiring an Associate Project Manager to keep our client work moving: the regulatory submissions, the event logistics, and the day-to-day coordination that turn a creative idea into a launched program.

TPM is an experiential learning agency in Malvern, PA. We design immersive training for pharma, biotech, , MedTech teams and Universities, including Fortune 100 life sciences companies: simulation-based learning, AR/VR experiences, 3D animation, adaptive eLearning, AI enterprise workshops, and immersive meetings and events.

This is a hybrid (three days a week) role based at our Malvern office and Experience Center. You will report to our project leadership team and work alongside our creative, programming, and learning strategy teams every day. It is a strong fit for someone one to three years into their career who wants to learn how pharma content actually gets built, reviewed, and shipped.

What you'll do

Veeva Vault and regulatory submission logistics

  • Upload, route, tag, and track client assets in Veeva Vault for product launches and NSM and POA meetings: interactive learning modules, AR/VR builds, digital wireframes, training decks, and workshop materials.
  • Coordinate Medical, Legal, and Regulatory (MLR/PRC) review submissions, track review status, organize reviewer annotations, and manage re-submissions through approval.
  • Keep references, claims, and metadata correctly linked and tagged to each client's compliance standards so nothing stalls in review.

Event planning and logistics

  • Support logistics for tradeshows, conferences, client meetings, and workshops: shipping collateral and equipment, booth schedules, printing, and equipment tracking.
  • Prepare and ship workshop and training materials so our team and our clients walk in ready.
  • Help host client visits and events at our Malvern Experience Center.

Cross-functional project administration

  • Maintain task management across TPM's internal teams (graphic design, programming, 3D, learning strategy) and follow up on deliverables so timelines hold.
  • Keep project status current and report it clearly to project leads and clients.
  • Spot problems early, propose a fix, and keep the team moving.

What we're looking for

Required

  • 3+ years in project coordination, project management, or account support, ideally at an agency or in pharma, biotech, or MedTech.
  • Hands-on experience with Veeva Vault (PromoMats or MedComms) and the MLR/PRC review process, or a closely related regulated content workflow.
  • Working command of project management applications, systems, and process: tools like Asana, Monday, Smartsheet, Trello, or Jira, plus comfort building and keeping a clean task board.
  • Strong work ethic. You follow through, you keep commitments, and you close the loop without being chased.
  • Creative problem solving. When a shipment is late or a reviewer goes quiet, you find the path forward.
  • Organized and detail-driven, with clear written and verbal communication.
  • Able to work on site in Malvern, PA on a hybrid schedule.

Nice to have

  • Experience producing launch meetings and events.
  • Experience coordinating tradeshows, conferences, or client events.
  • Exposure to digital, eLearning, 3D, or AR/VR production.
  • Familiarity with Microsoft 365, HubSpot, or Adobe Creative Cloud.
  • Bachelor's degree in communications, marketing, business, life sciences, or a related field.

Non-negotiable

  • A kind and caring person.
  • Passionate about customer service and quality craftsmanship.
  • A true team player.
  • Love what you do
  • Must love the Philadelphia Eagles.
