Position Title: Program Coordinator, Cybersecurity Grants
Classification: WFSE Classified (Class Code 107N)
FTE: 1.0
Schedule: 40 hours/week, Monday-Friday 8 AM-5 PM. Occasional evening work may be required and scheduled in advance.

Job Summary
The Program Coordinator is a key member of the National Centers Grants team, responsible for coordinating program operations, managing data reporting processes, and supporting the administration of NCyTE's web-based platforms and analytics systems. This role ensures the accurate collection, analysis, maintenance, and communication of program information through the NCyTE website, reporting dashboards, and other data management tools. The Program Coordinator serves as a liaison among internal team members, external partners, vendors, and stakeholders to support program objectives and drive continuous improvement. Success in this role requires strong organizational, analytical, technical, and communication skills, as well as the ability to manage multiple priorities, solve problems proactively, and contribute to the achievement of grant and program goals.
Reporting Structure/Supervisory Relationship
- The Program Coordinator reports to the Operations, Travel, and Events Manager for Cybersecurity Grants.
Responsibilities
Essential Functions
- Coordinates administration and enhancement of program technology platforms; works with technical staff and vendors to troubleshoot issues, implement updates, test functionality, and support improvements that align systems with program requirements.
- Performs complex monthly data analytics and reporting activities using Google Analytics, Clark.Center, and other NCyTE data tracking systems to assess program performance, engagement, and outcomes.
- Develops, formats, and presents data reports, dashboards, and visualizations; analyzes trends and provides recommendations for process improvements, strategic initiatives, and data-informed decision-making.
- Provides administrative support for the NCyTE website, including creating, updating, and editing web pages, maintaining content accuracy, testing functionality, and resolving broken links and other website issues.
- Conducts periodic reviews and analyses of website performance and availability, including monitoring and assessing Cloudflare outages and related service disruptions; coordinates with appropriate technical resources and vendors to address service disruptions and ensure continuity of program operations.
- Supports website optimization efforts through content management, analytics review, accessibility practices, and coordination of improvements.
- Monitors and supports program activities related to website enhancements, content updates, redesign initiatives, and digital platform improvement projects to ensure timely completion and alignment with program goals.
- Researches software products, platforms, and vendor solutions; evaluates functionality, costs, and suitability; and provides recommendations to support program and operational needs.
- Represents the program at meetings, workshops, conferences, and other events; communicates program information and collaborates with stakeholders, partners, and vendors.
- Utilizes word processing, graphics, statistical, spreadsheet, database, and business intelligence software, including Power BI and Tableau, to support data analysis, reporting, presentations, and program operations.
- Performs other related work of a similar nature and level.
Knowledge, Skills & Abilities
- Knowledge of website administration, content management systems, search engine optimization (SEO), and web accessibility standards to support the maintenance and enhancement of program websites.
- Knowledge of data collection methodologies, analytics tools, reporting processes, and performance metrics used to evaluate program effectiveness and support data-driven decision-making.
- Skill in analyzing, interpreting, and presenting complex data using reporting and visualization tools such as Power BI, Tableau, Google Analytics, and spreadsheet applications.
- Skill in coordinating multiple projects, priorities, and deadlines while maintaining a high level of accuracy, organization, and attention to detail.
- Skill in troubleshooting technical issues related to web-based applications, databases, and digital platforms, and coordinating resolutions with internal and external stakeholders.
- Ability to communicate effectively, both verbally and in writing, with diverse audiences including team members, vendors, partners, grant stakeholders, and program participants.
- Ability to establish and maintain collaborative working relationships with internal and external stakeholders while serving as a liaison between technical and non-technical audiences.
- Ability to evaluate software products, technology solutions, and vendor services, and make recommendations based on program needs, functionality, and operational requirements.
- The ability to actively contribute to a work and learning environment that treats everyone with respect and dignity, while engaging diverse perspectives, backgrounds and experiences to enhance the College's mission, vision, and promise.
Working Conditions/Environment
- Work is performed primarily in a standard indoor office environment with frequent interruptions, shifting priorities, and multiple deadlines. The position requires extended periods of sitting and computer use, along with frequent phone, email, virtual, and in-person interactions. Occasional movement throughout the office, campus, or event locations may be required to coordinate meetings, trainings, workshops, or project logistics. Ability to lift and carry items weighing up to 25 pounds is required.
Qualifications
Minimum Qualifications
- High school graduation or equivalent.
- Two (2) years of experience in program coordination, project support, data analysis, website administration, information technology support, grants administration, or a related field.
OR
- Equivalent combination of education and experience sufficient for the person to perform the duties of the position .
Preferred Qualifications
- Bachelor's degree in Data Science, Computer Science, Information Systems, Information Technology, or a closely related field.
- Working familiarity with UI/UX principles and responsive web design, including compliance with web accessibility standards (WCAG).
- Familiarity with web technologies, content management systems, and digital platforms sufficient to coordinate website improvements and communicate effectively with technical resources.
- Familiarity with application functionality, databases, and system integrations sufficient to support program technology operations.
- Familiarity with API design, development, and system integration concepts.
- Experience working with content management systems (CMS), including creating, updating, and maintaining web content.
- The ability to take action to learn and grow.
- The ability to take action to meet the needs of others.
Licensure, Certification & Other Necessary Requirements
- Employment contingent upon passing a criminal background check and sexual misconduct review.
- Occasional travel to meetings, conferences and training sessions may be required.
Salary
Salary
- This is a full-time, grant funded, classified, WFSE (Washington Federation of State Employees) represented position. Salary is Range 41, starting at Step C, $3,917.00 per month with periodic increments to $4,866.00 per month. Position renewal is contingent upon the continuation of grant funding.

- Accrues 8 hours per month of sick leave and 11.33 hours per month vacation leave with periodic vacation accrual increases based on longevity.
