MOVE Your Business is proud to represent Jasmine Daya & Co., a Toronto-based law firm that has transitioned from civil litigation into cross-border private lending law. The firm now advises Canadian lenders and industry professionals on expanding into the U.S., including market entry, licensing, regulatory strategy, and business structuring. It operates as a fast-paced, entrepreneurial practice combining legal services with business development, education, and industry engagement.

On behalf of Jasmine Daya & Co, we are seeking a dependable and highly detail-oriented Bookkeeper with previous accounting experience in a Canadian or U.S. law firm.

The successful candidate must have practical experience with law firm trust accounting, including the recording, reconciliation, and reporting of client trust transactions. Strong proficiency with QuickBooks and experience administering Canadian payroll are also required.

Knowledge of Soluno or PCLaw is desirable but is not required.

This position requires exceptional accuracy, discretion, and an understanding of the heightened financial-recordkeeping obligations applicable to law firms.

Key Responsibilities:

Law Firm & Trust Accounting

  • Maintain accurate records for general and trust accounts, including client trust deposits, transfers, disbursements, and withdrawals.
  • Manage individual client trust ledgers and ensure correct allocation by client and matter.
  • Perform monthly and three-way trust reconciliations; identify and resolve discrepancies.
  • Monitor trust balances and ensure all transactions are properly authorized and documented.
  • Maintain complete audit trails and ensure compliance with law firm procedures and regulatory requirements.
  • Prepare records for audits and coordinate with lawyers, management, and external accountants.
  • Ensure strict separation of client trust funds and operating funds.

Note: Candidates with U.S. law firm experience must demonstrate transferable trust accounting knowledge aligned with Ontario requirements.

General Bookkeeping

  • Maintain accurate financial records in QuickBooks, including revenue, expenses, and transfers.
  • Reconcile bank accounts, trust accounts, credit cards, and other financial accounts.
  • Manage the general ledger, investigate discrepancies, and post adjusting entries.
  • Ensure proper organization and retention of financial documents across multiple accounts and clients.

Accounts Payable

  • Record vendor invoices, track due dates, and prepare payments for approval.
  • Reconcile vendor statements, resolve discrepancies, and ensure proper expense allocation.
  • Maintain complete and accurate payment records.
  • Accounts Receivable & Billing
  • Prepare invoices and client statements; record and apply payments accurately.
  • Monitor receivables, generate aging reports, and track overdue accounts.
  • Maintain records of payment arrangements, adjustments, and write-offs.
  • Reconcile fees, disbursements, taxes, and client payments.

Canadian Payroll

  • Process payroll accurately, including salaries, wages, allowances, bonuses, and vacation pay.
  • Administer deductions (tax, CPP, EI) and coordinate remittances.
  • Maintain payroll records and prepare T4s, ROEs, and related documentation.
  • Track leave balances and reconcile payroll accounts.
  • Coordinate with management and external accountants for reporting and year-end requirements.

Tax & Government Reporting

  • Maintain records for HST reporting and reconcile HST collected vs. paid.
  • Assist with payroll remittances and government filings.
  • Organize year-end records and track filing deadlines.
  • Respond to requests for financial documentation.

Financial Reporting & Analysis

  • Prepare reports including P&L, balance sheet, cash flow, AR/AP aging, payroll, and reconciliation reports.
  • Provide client/matter-level and expense reporting.
  • Identify discrepancies, unusual transactions, missing documentation, and cash flow concerns.

Ad Hoc Support

  • Assist with audits, tax prep, and reporting requests
  • Perform additional bookkeeping and admin tasks as needed

Requirements & Qualifications:
Proven bookkeeping or accounting experience in a Canadian or U.S. law firm.
Hands-on experience with law firm trust accounting, including trust and client-ledger reconciliations.
Proficiency in QuickBooks (preferably QuickBooks Online).
Experience with Canadian payroll, including deductions, remittances, and reporting requirements.
Background in client billing, accounts receivable, and accounts payable.
Strong knowledge of general ledger and bank reconciliations.
Proficient in Microsoft Excel.
High level of accuracy and attention to detail, with the ability to identify and resolve discrepancies.
Strong organizational and time-management skills, with the ability to manage recurring deadlines independently.
Excellent written and verbal English communication skills.
Ability to handle confidential client, employee, and financial information with discretion.
Reliable internet connection and secure remote work setup.
Two professional references and a valid criminal background check issued within the last 60 days are required for all successful applicants.
Completion of intake paperwork, including submission of a valid tax identification number (e.g., Social Security Number, Social Insurance Number, or the country’s equivalent), is required prior to onboarding.

Working Hours:
Full Time (40 hours per week)
Monday through Friday 8 AM - 5 PM Eastern Time

Pay: $900 + $55 Allowance per month
