About the job
We are seeking a professional, personable, and highly organized Front Desk Officer to join our radio station team. As the face of our station, you will be the first point of contact for visitors, guests, clients, advertisers, and staff. You will manage front desk operations, provide administrative support, coordinate visitor access, and help ensure the station runs smoothly in a dynamic media environment.
Key Responsibilities
- Welcome and assist visitors, interview guests, advertisers, vendors, and clients in a professional and friendly manner.
- Answer and direct incoming phone calls and respond to general inquiries.
- Manage the reception area, ensuring it is clean, organized, and representative of the station's brand.
- Coordinate visitor check-in procedures and notify station personnel of guest arrivals.
- Schedule meetings and assist with conference room bookings.
- Receive, sort, and distribute mail, packages, and deliveries.
- Provide administrative support, including filing, data entry, document preparation, and record keeping.
- Assist with office supply inventory and coordinate replenishment when needed.
- Support station events, promotions, and special projects as assigned.
- Maintain confidentiality when handling company, employee, and client information.
- Perform other administrative duties to support daily station operations.
Qualifications
- High school diploma or equivalent required; an associate degree in Business Administration, Communications, or a related field is a plus.
- At least 1 year of experience in a receptionist, front desk, customer service, or administrative role.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with a customer-first attitude.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to multitask and prioritize responsibilities.
- Professional appearance and positive attitude.
- Ability to work efficiently in a fast-paced media environment.
Preferred Qualifications
- Previous experience in a media, broadcasting, entertainment, or communications environment.
- Experience with multi-line phone systems.
- Familiarity with office administration and scheduling software.
