*The Role *
We're looking for a highly organized, detail-oriented Podcast Project Manager to own the end-to-end execution of a podcast production cycle.
This podcast is AI-focused, and we're looking for someone who is genuinely curious about the AI space beyond mainstream, consumer-level coverage, someone who follows AI news as a habit, tracks new model releases across different regions and labs (not just the usual U.S. players), pays attention to emerging use cases, and knows who the up-and-coming companies and researchers are. That context will help you spot strong guests and topics, ask sharper questions in production meetings, and keep the show ahead of the conversation rather than behind it. While you do not need to be an expert on day one, you should be genuinely interested in technology and willing to learn quickly about the topics shaping the industry.
This role is ideal for someone who thrives on structure, loves keeping complex projects on track, and enjoys being the connective tissue between clients, hosts, guests, and production teams. You'll manage timelines, logistics, stakeholder communication, and production workflows to ensure every episode moves smoothly from guest confirmation through publishing and promotion. This role serves a fast-moving production environment where organization, follow-through, and clear communication are essential to success.
Ideal Candidate
The ideal candidate is proactive, highly organized, and comfortable managing multiple moving pieces across teams and time zones. You don't need prior podcast experience on day one, but you should be a strong project manager who can quickly learn new workflows and take ownership of outcomes and budgets.
What You'll Do
- Own end-to-end podcast project execution across each episode production cycle.
- Building and managing production timelines, milestones, dependencies, and deliverables to ensure every episode is delivered on schedule
- Coordinating all production logistics including guest outreach, scheduling, calendar management, recording sessions, equipment coordination (where applicable), and release forms
- Managing communication across internal teams, clients, hosts, guests, and vendors
- Leading status updates, tracking approvals, and documenting meeting notes. Setting agendas for internal and external calls, leading calls, and building strong personal relationships with clients
- Managing the movement of each episode from guest confirmation through recording, editing, review, revisions, publishing, and promotion, ensuring no deliverables fall through the cracks
- Maintaining project trackers, guest CRM, editorial calendars, production schedules, risk registers, action logs, and SOPs to ensure a scalable and repeatable production process
- Coordinating cross-functional teams including producers, editors, designers, marketing, and external partners, proactively identifying blockers and resolving scheduling conflicts
- Quality Control & tracking internal reviews, client feedback, revision cycles, final approvals, publishing readiness, and delivery of all production and promotional assets.
- Recommending process optimizations that improve efficiency across future podcast productions Managing budget to ensure the project is executed on time and within budget.
Who You Are
- 1-2 years of project management, production management, or agency operations experience Experience coordinating podcasts, video productions, webinars, or digital media projects is preferred
- Strong organizational and stakeholder management skills with the ability to manage multiple concurrent workstreams
- Comfortable working with remote teams across time zones, with some overlap during EST hours (8am-12pm EST)
- Experience with tools such as Google Workspace and other recording platforms
- Excellent english, written and verbal communication skills with strong attention to detail and a proactive approach to problem-solving
- Able to follow detailed processes closely and consistently
- Comfortable in client-facing settings able to set agendas, lead calls, and build strong personal relationships with clients
- A natural leader who can get internal teams to work together collaboratively, and who leans into ownership, accountability, and a can-do attitude
- Strong initiative and a proactive problem-solver who leads projects to success
