About the job

We are looking for a highly organized, detail-oriented, and dependable Payroll Clerk to join our growing team. The Payroll Clerk will play a critical role in ensuring employees are paid accurately and on time while maintaining payroll records and complying with all applicable payroll laws and company policies. The ideal candidate has excellent numerical skills, strong attention to detail, and the ability to handle confidential information with professionalism and integrity.

This position requires someone who enjoys working with numbers, meeting deadlines, and providing exceptional support to employees regarding payroll-related questions. The successful candidate will collaborate with Human Resources, Accounting, and management to ensure payroll processes are completed efficiently and accurately.

Key Responsibilities

  • Process weekly, bi-weekly, semi-monthly, or monthly payroll accurately and within established deadlines.
  • Collect, review, and verify employee timesheets, attendance records, overtime, paid time off, and leave information.
  • Calculate employee wages, overtime pay, commissions, bonuses, deductions, reimbursements, garnishments, and other payroll adjustments.
  • Maintain accurate payroll records, employee files, and supporting documentation.
  • Enter payroll data into payroll software while ensuring a high level of accuracy.
  • Review payroll reports before processing to identify and correct discrepancies.
  • Respond promptly and professionally to employee inquiries regarding paychecks, tax withholdings, deductions, direct deposits, and payroll policies.
  • Coordinate with Human Resources regarding new hires, employee terminations, salary changes, promotions, and benefits deductions.
  • Ensure compliance with federal, state, and local payroll regulations and company policies.
  • Assist in preparing payroll tax filings, year-end reports, W-2s, and other payroll-related documentation as required.
  • Reconcile payroll records with accounting records and assist with month-end and year-end closing activities.
  • Maintain confidentiality of sensitive employee and payroll information at all times.
  • Generate payroll reports for management, finance, and external auditors when requested.
  • Assist with payroll audits and provide supporting documentation.
  • Monitor payroll deadlines and recommend process improvements to increase efficiency and accuracy.
  • Perform other payroll and administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred.
  • Previous experience in payroll, bookkeeping, accounting, or administrative support is preferred.
  • Familiarity with payroll software such as ADP, Paychex, QuickBooks Payroll, Paylocity, Workday, or similar systems is an advantage.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Strong mathematical and analytical skills.
  • Excellent organizational and time-management abilities.
  • Ability to prioritize multiple tasks and meet strict deadlines.
  • Strong written and verbal communication skills.
  • High level of integrity and discretion when handling confidential information.
  • Ability to work independently as well as collaboratively within a team.
  • Strong attention to detail with a commitment to accuracy.

Preferred Skills

  • Knowledge of payroll taxes, wage laws, and labor regulations.
  • Experience processing payroll for multiple locations or large employee groups.
  • Basic accounting or bookkeeping knowledge.
  • Strong problem-solving and customer service skills.
  • Ability to quickly learn new payroll systems and technology.
