Summary
The Manager, Member Programs is responsible for the planning, development, execution, and evaluation of member-facing programs, meetings, and engagement initiatives that support the organization’s strategic goals and member value. This position serves as the primary staff liaison to the Program Committee and Practice Administrators Committee and collaborates closely with volunteer leaders, faculty, speakers, industry partners, and staff to ensure successful delivery of educational and networking programs. *Hybrid role working two days in office. *
The Manager, Member Programs oversees the planning and execution of the Annual Meeting, Mid-Year Meeting, virtual programs, committee meetings, and other assigned educational and member engagement activities. This position supervises the Meeting Planner and Associate Member Programs positions and is responsible for managing project timelines, budgets, communications, and operational processes related to member programs.
Essential Duties and Responsibilities
Program and Meeting Management
• Lead the planning, implementation, and evaluation of the organization’s Annual Meeting, Mid-Year Meeting, webinars, virtual events, and other assigned educational and member programs.
• Develop and manage comprehensive project plans, timelines, and deliverables for all assigned programs and meetings.
• Coordinate program logistics including venue management, registration, housing, audiovisual requirements, food and beverage functions, signage, speaker management, and attendee communications.
• Ensure successful execution of in-person, virtual, and hybrid meetings.
• Monitor program performance and recommend improvements based on attendee feedback, participation metrics, and organizational goals.
• Manage meeting budgets and monitor expenses to ensure financial objectives are achieved.
Committee and Volunteer Leadership Support
• Serve as the primary staff liaison to the Program Committee and Practice Administrators Committee.
• Coordinate committee meetings, agendas, materials, minutes, action items, and follow-up communications.
• Work closely with volunteer leaders to develop educational content, identify faculty, and establish program priorities.
• Support committee initiatives and strategic projects that enhance member engagement and educational offerings.
Member Engagement and Communications
• Develop and implement strategies to increase member participation and engagement in organizational programs and activities.
• Oversee communications related to meetings, educational offerings, committee activities, and member engagement initiatives.
• Collaborate with marketing and communications staff to promote programs and maximize attendance.
• Maintain strong relationships with members, volunteer leaders, and stakeholders.
Staff Supervision and Leadership
• Directly supervise the Meeting Planner and Associate Member Programs positions.
• Provide leadership, coaching, training, and performance management for assigned staff.
• Delegate responsibilities appropriately while ensuring accountability and successful completion of projects.
• Foster a collaborative and service-oriented team environment.
Project Management and Operational Excellence
• Develop and maintain project management systems, workflows, and standard operating procedures.
• Track deadlines, deliverables, and project milestones across multiple concurrent programs.
• Identify opportunities to improve efficiencies and enhance member experiences.
• Maintain accurate program records, reports, and documentation.
• Prepare reports and presentations for senior leadership, committees, and the Board of Directors as needed.
Other Responsibilities
• Support organizational strategic initiatives and special projects as assigned.
• Attend and provide onsite management for organizational meetings and events.
• Travel as required to support meetings and programs.
Qualifications
Required Education and Experience
• Bachelor’s degree from an accredited college or university.
• Minimum of three (3) years of association management experience.
• Experience planning meetings, conferences, educational programs, or member engagement activities.
• Demonstrated project management experience with the ability to manage multiple priorities simultaneously.
• Experience working with volunteer leaders, committees, or boards.
• Experience with association management systems (AMS), event registration platforms, and virtual meeting technologies.
• Project management certification or training is a plus.
