We are seeking a highly organized and proactive Project Operations Coordinator to oversee and manage the procurement and operational aspects of project delivery. In this role, you will handle purchase orders (PO), production orders (PI), sales orders, and quotations, while using ERP systems to maintain up-to-date project data. Additionally, you will coordinate with clients, vendors, and site teams to ensure project timelines, budgets, and quality standards are consistently met.
Key Responsibilities:
Procurement and Order Management
- Process and track purchase orders (PO), production orders (PI), and sales orders to align with project schedules and material requirements.
- Obtain and manage quotations, negotiating with vendors to secure cost-effective terms and ensuring timely delivery of materials and services.
- Maintain and update project documentation, including contracts and supplier agreements, to support transparency and traceability.
ERP and Documentation Control
Manage project data within the ERP system, including order entries, inventory levels, and material tracking.
Ensure accurate and up-to-date documentation for all procurement, production, and sales orders to facilitate seamless project operations.
Generate regular reports from the ERP system on project expenses, timelines, and order status to assist in project tracking and decision-making.
Client and Stakeholder Coordination
Serve as the main point of contact for clients, providing regular updates on project progress and addressing any inquiries or issues that arise.
Collaborate with site teams and subcontractors to maintain alignment on project timelines, budgets, and resource needs.
Prepare and deliver reports, project summaries, and client communication to ensure transparency and satisfaction.
Vendor and Site Management
Coordinate closely with vendors to manage procurement timelines and ensure the quality and quantity of delivered materials meet project standards.
Liaise with site teams to anticipate project needs, resolve on-site challenges, and ensure all resources are available as required.
Conduct periodic site visits as necessary to assess project progress and address any issues related to procurement and material availability.
Continuous Improvement
Analyze procurement and project workflows to identify areas for process improvement and cost-saving opportunities.
Implement best practices in procurement and project coordination to enhance efficiency, streamline communication, and optimize resource utilization.
Contribute ideas and feedback to improve project planning, order tracking, and client service protocols.
Qualifications:
Bachelor’s degree in Operations Management, Supply Chain Management, Business Administration, or a related field.
Proven experience in procurement, project operations, or a similar role, ideally within an industry that requires project-based work.
Strong proficiency with ERP systems and a demonstrated ability to manage and track purchase orders, production orders, and sales orders.
Excellent organizational and communication skills, with the ability to coordinate effectively with clients, site teams, and vendors.
Strong analytical skills, with attention to detail and the ability to manage multiple projects simultaneously.
Preferred Skills:
Previous experience in project coordination or site team management.
Familiarity with industry-specific ERP systems and project management tools.
Knowledge of contract management and vendor negotiations.
