Role Overview: We are seeking an Operations and Administrative Manager with a deep commitment to social impact, technological innovation, and operational excellence. This role is pivotal in supporting our CEO by taking ownership of day-to-day administrative and operational tasks, allowing her to focus on high-level strategy, partnerships, and innovation. The ideal candidate will be proactive, technologically savvy, and possess exceptional organizational and communication skills. You’ll not only manage the CEO’s calendar, emails, and team communications but also design and implement systems that enhance efficiency across the company.
Key Responsibilities:
Executive Support: Manage the CEO’s inbox and calendar with meticulous attention to detail, ensuring time is prioritized for high-level work. Serve as a gatekeeper by screening emails, preparing daily briefs, scheduling meetings, and following up on action items.
Operational Efficiency: Design, implement, and optimize systems and processes that streamline daily operations, enhance communication, and reduce inefficiencies. Manage project timelines, task tracking, and resources using tools such as Motion, Pipedrive, and QuickBooks.
Team Coordination: Act as a central point of contact for team members, facilitating communication, managing agendas, and ensuring alignment with company goals. Prepare succinct status reports and updates for the CEO and help onboard new team members.
Client and Partner Relations: Oversee and nurture external communications, including responding to inquiries, scheduling, and representing the CEO in initial outreach. Maintain strong relationships with partners, funders, and other key stakeholders.
Financial Support: Collaborate with our finance team on administrative finance tasks, including tracking budgets, reviewing invoices, managing expenses, and running financial reports in QuickBooks.
Data & Automation Management: Leverage AI tools and automation to streamline workflows, proactively identify areas for improvement, and help integrate technology that aligns with our mission of digital transformation and equitable tech access.
Required Qualifications:
5+ years of experience in operations, executive support, or administrative management, preferably in a startup or high-growth environment.
Power user of AI tools such as ChatGPT and/or Gemini, and able to integrate these tools effectively for task management, communication, and process automation.
Tech-savvy and adaptive with demonstrated experience in using productivity tools (Motion, Pipedrive, QuickBooks, Calendly). Experience with additional AI tools and automation workflows is a plus.
Exceptional organizational skills with the ability to design and implement efficient systems that drive productivity and reduce friction.
Proactive communicator who can manage relationships and communications on behalf of the CEO with professionalism, tact, and sensitivity.
Financial literacy and experience working with budgets, expense reports, and invoicing; comfortable interpreting and supporting financial reports.
Deep commitment to social impact and alignment with our mission to drive tech literacy and equitable opportunities through emerging technologies.
Excellent written and verbal communication skills with a high degree of professionalism and emotional intelligence.
Experience in a mission-driven environment is preferred, with a nuanced understanding of diversity, equity, and inclusion principles.
