About the role…
Permutive is looking for an energetic and highly organised Office Manager to oversee the day-to-day operations of our London office. In addition to managing the offices administrative functions, you will be responsible for cultivating a positive office environment and organising internal events that promote team building and employee well-being.
This role is perfect for a reliable and proactive problem solver with exceptional communication skills and meticulous attention to detail. You’ll be used to seeing around corners and anticipating leaders' needs whilst also working as an Executive Assistant to the CTO/Co-Founder and VP of Product.
This role is a fixed-term contract until September 2025.
_This person will be required to work from the London office in Farringdon a minimum of 3 days each week from Tuesday - Thursday. _
What you’ll be doing…
Oversee the daily operations of the office and being the main point of contact for all office related enquiries, greeting guests and new employees.
Manage relationships with vendors, service providers, and contractors to ensure efficient delivery of services.
Evolve Permutive’s office culture, proactively designing engagement strategies to get enable employees to get value out of being in the office during the week
Managing various conference and meeting rooms and keeping the office restocked as well as managing the office budget
Plan and organise internal events and activities to foster team building, employee engagement, and a positive working environment.
Collaborate with various teams to organise and support department-specific planning days, workshops, and training sessions.
Providing diary support for our CTO/Co-founder and VP Product as well as light inbox management.
Booking travel when needed including flights and accommodation.
Completing expense reports monthly for Executives.
Providing administrative meeting support when needed include distributing agendas, taking actions.
Undertake ad-hoc tasks as and when required
Maintain professionalism and strict confidentiality with all materials
Manage a high volume of tasks, information and communication in a way that upholds culture and helps the leaders shine
Demonstrated experience as an office manager and supporting executive-level leaders as an Executive Assitant or PA.
Available to work from the London office at least 3 days per week (Tues-Thurs).
Positive attitude, with a passion for fostering a work environment that has a demonstrated impact on employee inclusion and well-being.
Experience liaising with customers and external senior stakeholders.
Experience as an Office Manager for a company of 40+ people.
Excellent ability to build strong relationships and work collaboratively.
Strong organisational and multitasking skills with exceptional attention to detail. Ability to work calmly under pressure and to multiple deadlines.
Excellent written and verbal communication and interpersonal abilities to collaborate with diverse teams and stakeholders.
Experience in planning, executing, and managing budgets for internal events and activities.
Knowledge of health and safety regulations and compliance standards.
Proactive problem-solving skills and ability to adapt in a dynamic environment.
Ability to maintain confidentiality and handle sensitive information with professionalism

- We take a structured, objective approach to salary-setting based on market information, our compensation strategy, and your experience and capability as assessed through our interview process. For a typical candidate who meets our requirements, we pay an annual salary of £40,000 - £45,000.
