Scope

We are seeking a Marketing and Executive Assistant to join our growing team. In this hybrid role, you will own and execute a broad spectrum of activities across marketing and management-level operations.

Reporting to the VP of Marketing, you will work in an industry-disrupting company with the room and resources to grow.

Generalist marketing activities are the primary component of this role, where you can assist in different marketing practice areas - from campaign management to marketing operations, events coordination, and more.

Executive support activities help support our management team’s workflow, including regular meeting cadences, stakeholder coordination, diary management, and other organisational support.

What you will be responsible for

Marketing Team (75%)

  • Assist in the coordination and project management of marketing campaigns, both external-facing and internal-facing.
  • Coordinate the execution of marketing events, including owned (i.e. webinars), third-party (i.e. trade shows), community building (meetups), and employer brand (i.e. career fairs).
  • Manage our CRM (HubSpot) and ensure data accuracy and integrity of Marketing Contacts/Companies and other system maintenance activities.
  • Responsible for marketing swag and collateral, including procurement, inventory management, and distribution internally/externally.
  • Manage the library of internal and external Marketing tools, assets, and content, ensuring they have proper naming conventions and formatting.
  • Provide general administrative support to the Marketing team as needed to help ensure our campaigns and programs are as timely and efficient as possible.

Executive Team (25%)

  • Coordinate the scheduling and agenda preparation for a management team meeting cadence, including follow-up on actions where required.
  • Prepare agenda and coordinate the deck preparation for our monthly internal Town Hall and other internal events.
  • Manage the office experience in Melbourne, Sydney, and Seattle to ensure staff is fully catered (i.e. grocery order) and has the resources needed (i.e. office supplies).
  • Ad-hoc meeting coordination and deck production for executive and management team members ( i.e. offsites, strategy planning workshops, etc.)
  • Coordinate travel arrangements as required for the management team for events and meetings.
  • Assist CEO in effective diary management and general administrative tasks.
  • Develop and sustain a level of professionalism among staff, customers, and partners.

Knowledge, skills, and abilities

  • Degree in Marketing, Commerce, or other business-related field.
  • Minimum 1-2 years of relevant experience in a similar business environment.
  • Understanding of basic marketing principles or a desire to learn more.
  • Excellent written and verbal communication skills.
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
  • Tech-savvy with an aptitude for learning and working within various software platforms and able to become familiar with company-specific programs and software.
  • Able to work cross-functionally, build rapport and delegate tasks as required collaboration and delegation of duties.
  • Professional presence, confidence, and eloquence in meetings and presentations.
