About the Role
We seek an exceptional Executive Assistant (EA) to the CEO and Founders Office. As an ideal candidate, you exude energy, poise, professionalism, competence, and confidence in working across all levels of the team. As a “super EA” you know exactly what it takes for a CEO to be highly-effective and efficient in their professional lives, which includes maximizing aspects of their personal lives as well. You instinctively identify existing CEO needs, and proactively implement systems and execute tasks and tactics to meet them. You elevate the effectiveness, presentation, and success of the CEO and founders with everyone who comes within their proximity. You take great pride in setting your executives up to win, and win big.
You will:
- Closely assist and serve the CEO and founding team while representing their best interests.
- Flexibility to serve as a de-facto administrator for the Office of the CEO, supporting tasks prioritization and being a solid resource to the team as it grows.
- Manage complex, rapidly changing calendars and schedules.
- Manage contact lists, phone, e-mail, and all information.
- Very strong writing skills. Author emails and correspondence on behalf of the CEO.
- Manage high volume of travel, i.e. last minute changes to flights and coordinate ground transportation, and hotels.
- Coordinate meetings and events with internal and external partners, preparing all aspects of event coordination, from ensuring proper audio-visual set up to food and pre-printed materials.
- Help maximize the CEO’s time by coordinating personal tasks and services.
- Coordinate and schedule regular onsite and offsite meetings between the CEO, advisors, and members of the leadership team. Schedule and help plan company parties, and team-building gatherings.
- Handle confidential business matters with discretion, while working independently and discreetly on special projects for the CEO.
- Help the CEO manage schedule, understanding CEO priorities, workload and deadlines.
- Manage relationships with people close to the company who regularly meet with the CEO.
Qualifications
- At least 1 ~ 3 years of experience as an Executive Assistant, preferably in high-growth environments.
- Experience with the demands and nature of companies going through a significant growth phase.
- A positive can-do attitude, and an opportunity mindset.
- Strong, clear communication skills, with the ability to exercise professional discretion and decision-making.
- Expert level organizational skills, detail management, and project tracking skills.
- Ability to see multiple tasks through, from start to completion.
- Excellent follow-up skills, and the ability to anticipate and drive follow up on the CEO’s behalf.
- Must have the ability to interact diplomatically, and professionally, while maintaining the highest level of confidentiality.
- The ability to work independently and multitask is crucial. Flexibility and patience to pivot, and re-prioritize in a fast-paced environment.
- Savvy and frugal purchasing, and resourceful procurement experience.
- Must be a power user in Google Workspace.
