Main Job Tasks and Responsibilities
Responsibilities will evolve as the needs of the office and pace of the business evolve. Today, they include, but are not limited to:
- Process in/outgoing mail and shipping packages
- Process office-related domestic & international courier shipments (shipping and receiving)
- Responsible for office-related purchases and expense tracking
- Assist with ordering business cards and new hire apparel
- Maintain office correspondence
- Interface with landlord, maintenance, janitorial staff, security company and other business contacts as needed
- Work with office vendors and from to time-to-time assist and/or lead on review of vendor contracts
- Review and approve office vendor invoices in A/P workflow
- Manage office keys and maintain fob/key listing
- Oversee adherence to office policies and procedures
- Participate with Facilities team with IWMS integration, launch and maintenance
- Assist with new employee onboarding activities
- Collaboration with IT to manage conference room and common area A/V setup/functionality
- Coordinate with IT department on all office networked equipment
- Maintain confidentiality of sensitive data, personnel records, and trade secrets
- Maintain a safe, secure, pleasant world-class work environment
- Manage all efforts to keep office organized and tidy, including storage organization
- Assist Facilities team with other FBN Facilities tasks
- Miscellaneous adhoc tasks and additional departmental support as needed
Responsibilities that are starting to and continuing to resume upon more return to office:
- Maintain and stock all office supplies including food/drinks
- Coordinate in-house catering for meetings, office events, etc
- Plan and execute office events, including employee morale and community events
- Assist with new hire orientation and welcoming
- Assists with greeting visitors and providing tours of the office to various guests as needed
- Leads and maintains weather drills and emergency action plans for the office
- Manage office calendars
- Manage office seating and conference room scheduling
MINIMUM REQUIREMENTS
- Strong attention to detail / organizational skills; does not allow things to ‘fall through the cracks’
- Excellent relationship building and communication skills: written, oral, and interpersonal
- Thrives in a fast-paced environment while embracing a ‘can-do’ attitude
- Flexible and able to manage competing priorities while working collaboratively
- Experience with Google Suite and Macintosh products helpful, but not required
